Description

Job Responsibilities:
MANAGEMENT OF DAY-TO-DAY OPERATION
1. To prepare letters and correspondences as requested by JMB and record the serial number of all outgoing mails
2. To prepare notices to be circulated on the notice board as advised by JMB and record the serial number
3. To attend to all incoming calls and reply to enquires politely
4. To check and open mails received and distribute to the relevant person in charge for further action
5. To check the document and issue a purchase order for maintenance quotations approved by JMB
6. To file all service providers/contractors’ agreements and prepare a file for the start and end dates of the contract. To inform JMB of any contract expiry three months in advance.
7. To design and prepare forms, advertisements etc as required by JMB management
8. To review and improve on existing Standard Operating Procedures (SOP) & House Rules
9. To work with JMB to upgrade level 7 which is used for recreational activities. Find ways to generate other income for Prima U1 e.g. rental of halls, promotions, sales and other activities
10. To prepare agenda and documents for JMB-MO meetings, contractors and lawyers meeting or interview, AGM or any other meetings required
11. To lead and monitor the performance of all staff (admin assistant, technician & senior technician) and ensure all jobs are done properly according to their job scope.
12. To check and purchase stationery or other items required for Prima U1 office use. Use petty cash for this
13. To handle any other administrative duties as & when assigned by JMB Prima U1 management
MANAGEMENT OF RESIDENT
1. To provide the insurance certificate as and when requested by unit owners.
2. To issue, record and monitor access cards, car park rentals, car stickers etc
3. To register new residents and provide a copy of the condominium/apartment’s house rules.
4. To request residents to fill up complaint forms for any complaints and ensure follow up action is taken on the complaints promptly. To maintain good public relations with the residents.
5. To issue general billing and official receipt for access cards, car park rental and other miscellaneous charges.
6. To assist to issue official receipts for collections of the maintenance fee and other charges ONLY for unit owners and residents who pay at the counter and pass collections to the accounts person.
7. To request owners to fill up forms for renovation and shifting in and out and collect the deposit in cash or cheque only. Note: No online transfer is allowed for this. A copy of the same is to be given to the security guard.
FACILITIES MANAGEMENT & MAINTENANCE
1. To inform Senior Technician immediately relating to any calls received on maintenance issues and complaints from residents e.g. trips, lights faulty, leaking, Astro decoder reset, Air Selangor & TNB issues etc.
2. To instruct Senior Technician to prepare documentation for a cost comparison of building maintenance job based on quotations received
