As the HR & Office Manager for our Malaysia’s new office (Solutino Sdn Bhd) setup in KL, you will be tasked to oversee the daily administration of HR policies and ensure compliance and adherence to the SOP. Your ability to connect with our personnel across all levels and regions will be an asset for the Company hence your ability to work independently with minimal supervision to build up the team in a new office setup must be strong. Your ability to be able to solve problem and communicate with people at all levels will be beneficial at the start of the new office setup as you will be the pioneer/first employee to be hired in the KL office.

Reporting to the CFO and working closely with the HR Manager (based in JB Office), you will gain insights into the HR spectrum where business objectives can be met through the right HR tools.

Job Description (Subjected to Changes):

  1. Assist with the entire recruitment process (especially on PMET roles)
  2. Conduct quarterly KPI reviews with Managers to ensure personnel are kept abreast of their performance and to match expectations between both parties
  3. Follow up on pending matters and drive performance through various HR tools
  4. Plan and develop training program for personnel
  5. Maintain and upkeep of all contracts, agreements, office leasing, Insurance records and renewals, with prompt highlight at least 2 months before its expiry
  6. Assist to submit claims to Insurers and to follow up with the payments
  7. Conduct exit interviews for staff who are resigning and ensure proper handover via counter checking with the reporting manager
  8. Explain policies and HR procedures to staffs
  9. Maintain and upkeep office assets and equipment, replenish pantry and stationeries and ensure the office administrative and operations are taken care of
  10. Any other adhoc administrative duties

Job Requirements:

·      Min. Diploma or equivalent in HR certification

·      Min. 3 years’ experience in HR Generalist/Manager roles

·      Must be well versed and knowledgeable in Malaysia’s Employment Act

·      Must have prior experience in new office setup (advantageous)

·      Must have hands-on experienced in hiring various PMETs positions

·      Neat and detail oriented, likes to maintain records in orderly manner

·      Proactive and high initiative

·      Enjoys communicating with people

·      Ability to work independently with minimum supervision

·      Comfortable to work as a sole contributor (only employee in the KL

office) at the start.

Additional information that ALL applicants are to take note

Successful candidate must be comfortable to work in a temporary location (i.e.: coworking space). There will be occasions that the candidate must be able to travel to Singapore HQ for meeting and trainings.

Shortlisted applicant must also be prepared to travel to Singapore for the 2nd round interview (1st round interview may be conducted virtually or physically at our JB office).

Kindly note that all new hires will be offered yearly renewable employment contract.
